  • Strengthen controls over petty cash, complimentary and entertainment expenses, purchasing, inventory and fixed assets.
  • Investigate discrepancies and recurring control failures promptly.

  • Identify unusual trends, cost leakage, cash-flow risks or weak controls early.

Investor reporting and profit allocation

  • Maintain a controlled register of approved investor ownership percentages and supporting agreements.
  • Prepare investor profit-allocation schedules only after the distributable amount has been formally approved.
  • Ensure each allocation uses the approved ownership percentage and reconciles to the authorised amount.
  • Provide clear supporting statements for General Manager and Founder review before payment authorisation.
  • Maintain confidentiality, version control, approval evidence and a complete audit trail.

Compliance, payroll and HR administration

  • Coordinate tax, statutory, audit and regulatory submissions with appointed external advisers.
  • Verify payroll inputs, employee master data, BPJS administration, tax inputs and staff-related liabilities.
  • Provide administrative leadership to the HR Coordinator, with the General Manager retaining people leadership.
  • Maintain confidentiality and strong controls over employee, guest, banking, investor and company information.
  • Keep the department ready for internal review, external audit, tax review and statutory inspection.

The Operations Manager leads and continuously strengthens the daily operation of hideout bali across River Village, Mountain Village, guest facilities, outlets and supporting areas. The role translates the General Manager's direction and the Founders' vision into consistent execution, balancing guest experience, incidental operational revenue, expense discipline, property condition and team organisation. This position does not lead the wider commercial, sales, pricing or distribution strategy: its revenue focus is on opportunities generated through the guest's stay.

Daily operations and guest experience

  • Lead daily coordination across Front Office, Guest Experience, Housekeeping, Food & Beverage, Engineering, Pool, Garden, Security and supporting services.
  • Ensure both villages, houses, outlets and back-of-house areas remain operationally ready, safe, clean and guest-focused.
  • Maintain strong field visibility and remove cross-department obstacles before they affect guests.
  • Monitor arrival, in-house, dining, activity, service-recovery and departure experiences.
  • Review complaints, online feedback and recurring guest issues, and ensure root causes are corrected.
  • Coordinate operational priorities during high occupancy, events, weather disruption and emergencies.

Guest-driven and incidental revenue

  • Drive extended stays, walk-ins, room upgrades and paid late check-outs within availability and approved pricing guidelines.
  • Grow relevant guest spend through F&B, spa, activities, transport, celebrations and events.
  • Ensure teams recommend experiences confidently and naturally, without making the guest journey feel transactional.
  • Track operational conversion and identify improvements in presentation, timing, availability and follow-up.
  • Coordinate with Reservations, Revenue or Sales only when inventory confirmation or approved rates are required.

Expense control and productivity

  • Review departmental expenses, payroll deployment, purchasing, consumption, wastage and productivity.
  • Challenge unnecessary cost while protecting guest experience, safety, team wellbeing and property condition.
  • Work with the Chief Accountant and department heads on budgets, forecasts and corrective action.
  • Improve scheduling, inventory usage, ordering levels and resource allocation across both villages.
  • Require each department head to own the financial impact of their operation.

Property condition and asset protection

  • Maintain a complete view of house condition, public areas, equipment, landscape, pools and access routes.
  • Ensure defects, preventive-maintenance findings, safety concerns and presentation issues are recorded, prioritised, assigned and verified.
  • Coordinate closely with the Chief Engineer, Housekeeping, Pool and Garden teams.
  • Separate urgent repair, routine maintenance, preventive work, replacement and capital-expenditure needs.
  • Conduct regular property walks and readiness inspections with documented owners and completion dates.
  • Escalate material asset, safety or business-continuity risks to the General Manager.

Team organisation and local talent development

  • Build a clear operating structure with defined roles, decision rights, reporting lines and handoffs.
  • Lead department heads through operating meetings, performance reviews, coaching and action tracking.
  • Review manpower planning, shift coverage, productivity and succession needs with the General Manager and HR Coordinator.
  • Develop local supervisors and managers through practical coaching and delegated responsibility.
  • Create accountability without unnecessary bureaucracy, and maintain a respectful, collaborative culture.

Systems, SOPs and operational flow

  • Continuously evaluate whether current procedures, systems and communication flows support the operation.
  • Redesign operational flows when a process creates delay, duplication, unclear ownership or poor guest experience.
  • Convert improvements into practical SOPs, checklists, templates, dashboards and training.
  • Test new systems in real operating conditions, collect feedback and adjust before full implementation.
  • Ensure every new process has a clear purpose, owner, measure of success and review date.

New house opening and expansion

  • Lead the operational-readiness workstream for each new house from concept review through opening and stabilisation.
  • Translate the design concept into operating requirements covering guest flow, service access, housekeeping, maintenance, safety, utilities and storage.
  • Coordinate the opening master plan, responsibilities, dependencies, budget requirements and readiness deadlines.
  • Review drawings and mock-ups, identify usability risks and give operator feedback before decisions become expensive to change.
  • Manage OS&E planning, supplies, staffing, training, SOPs, systems setup, snagging, trial stays and opening checklists.
  • Lead the post-opening review and stabilise standards, staffing, cost and guest experience.

Governance, reporting and risk

  • Provide the General Manager with concise reporting on operational revenue, expense, property condition, team organisation and key risks.
  • Maintain clear operating KPIs, action registers, departmental follow-up routines and escalation standards.
  • Ensure compliance with company policies, licences, safety requirements, insurance conditions and approved operating standards.
  • Lead the operational response during incidents and ensure investigation, communication and corrective action are completed.
